Position Summary:
Kama‘aina Kids is seeking a highly organized and customer-focused Office Manager / Receptionist to oversee front desk operations and provide essential administrative support at our corporate office in Kailua, Hawaii. This role serves as the first point of contact for visitors, staff, and external stakeholders, ensuring a welcoming and professional office environment. The ideal candidate is proactive, detail-oriented, and capable of managing office operations efficiently while delivering excellent customer service.
Key Responsibilities:
Front Desk & Customer Service
- Greet and assist visitors, parents, staff, and vendors in a friendly and professional manner.
- Answer, screen, and direct incoming calls, providing accurate information or redirecting inquiries as needed.
- Maintain a tidy and organized reception area, ensuring a welcoming atmosphere.
- Handle incoming and outgoing mail, packages, and deliveries.
Administrative & Office Management
- Oversee day-to-day office operations, ensuring smooth workflow and organization.
- Manage office supplies inventory, placing orders as needed to maintain stock.
- Assist with scheduling meetings, appointments, and conference room bookings.
- Process and distribute correspondence, documents, and forms.
- Support corporate office staff with administrative tasks such as data entry, filing, and document preparation.
- Ensure office equipment (printers, copiers, phone systems) is maintained and operational.
Operational & Clerical Support
- Maintain digital and physical filing systems for important company documents.
- Assist with light bookkeeping duties such as invoice processing and expense tracking.
- Coordinate office maintenance and facility needs, liaising with management and vendors when necessary.
- Handle confidential information with professionalism and discretion.
Qualifications & Skills:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Prior experience as a receptionist, office manager, or administrative assistant is strongly preferred.
- Strong customer service and interpersonal skills, with the ability to communicate effectively in person and over the phone.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office technology.
- Ability to multitask and manage time effectively in a fast-paced environment.
- Detail-oriented with strong organizational skills.
- Ability to lift up to 50 lbs. as needed for office supplies or deliveries.

Schedule:
Monday through Friday (No evenings or weekends!)
